Belcar - Fleet and Pool Services
A Kanban and Gantt-based platform for managing rent and pool vehicle lifecycles across fleet operators and their clients.

About the project
BelCar is a fleet management platform for the mobility and vehicle leasing industry, serving fleet operators and their clients across rent and pool vehicle models. The platform combines a Kanban board and Gantt timeline to manage vehicles through their full lifecycle - from arrival and preparation to active use, maintenance, and offboarding - with multi-tenant access for both internal operators and external fleet clients.
What I Worked On
Led UX design for a complex fleet management platform used by fleet operators and their pool vehicle clients. The focus was on designing core lifecycle workflows, resolving complex vehicle status and transition logic, and delivering a production-ready interface that balances operational flexibility with strict business rules around invoicing, access control, and tenant visibility.
Facilitating discovery sessions with stakeholders to map vehicle lifecycle flows and resolve status transition ambiguities
Designing and iterating on the Kanban board, subboard workflows, and Gantt timeline views
Defining vehicle status logic including transition rules, admin restrictions, and automated vs. manual triggers
Designing a multi-tenant access model with differentiated views for internal operators and external fleet clients
Producing detailed interaction specifications covering edge cases such as deletion rules, arrival date requirements, and task completion behaviour
Delivering production-ready UI for a data-heavy operational tool used in a fast-paced fleet environment
Challenge
Fleet lifecycle management involves deeply interconnected rules - vehicles move through statuses that trigger invoicing, affect tenant visibility, and require different levels of access control depending on the user role and vehicle model (rent vs. pool). Translating these operational realities into a clear, flexible UI without creating bottlenecks for back-office teams was the core design challenge.
Solution
Designed a Kanban and Gantt-based platform with clearly defined status transition logic, role-based access controls, and a layered information architecture that separates internal workflow detail from tenant-facing visibility. Resolved complex business rules through structured stakeholder sessions, translating them into interaction patterns that keep the system flexible for operational exceptions while protecting data integrity for invoicing and registration management.
Impact
Resolved over a dozen status transition ambiguities through structured stakeholder alignment, reducing downstream development risk
Designed a multi-tenant visibility model that protects internal task data while giving fleet clients meaningful vehicle status updates
Simplified vehicle lifecycle management across rent and pool models within a single unified interface
Defined clear admin access controls for critical status transitions, preventing invoicing and registration errors
Delivered a scalable Kanban and Gantt system adaptable to multiple fleet client types including Arval, Alphabet, and Volvo
What You're Seeing
A production-ready fleet management platform designed for daily use by fleet operators managing complex multi-tenant vehicle portfolios across rent and pool models.
